1. Who We Are

Backbone for Trades LLC ("Backbone," "we," "us," or "our") provides a back-office workspace for service businesses ("Clients"). The current product includes lead and job records, email follow-up, appointment tracking, Google Calendar read-sync, a Morning Brief and an optional chat assistant. Phone reception, SMS and social publishing are not active services. Our website is backbonefortrades.com.

2. Information We Collect

We collect information in the following ways:

Information you provide directly: When you sign up for Backbone, we collect your name, email address, phone number, business name, business address, and payment information. Payment processing is handled securely by Stripe and we do not store full card details.

Google Calendar connection: With your authorization, we access calendar identifiers and event details, including event titles, descriptions, locations, start/end times and status. Nango manages the connection and access tokens. Backbone stores synchronized event records, including their raw event payloads, to display connected calendar information in Backbone. The current integration reads Google events; it does not create or edit them. Disconnect the connection in your workspace or revoke access in your Google Account.

Information from your customers: In the course of providing our services, we may process information about your customers including names, phone numbers, email addresses, and appointment details. This information is processed solely to deliver the automation services you have subscribed to.

Usage data: We collect standard server logs, usage analytics, and performance data to operate and improve our platform.

3. How We Use Your Information

We use the information we collect to:

• Provide, operate, and maintain the Backbone platform and its automation services
• Process payments and manage your subscription
• Send configured email follow-ups, appointment messages and operational notifications; imported contacts are not automatically enrolled in follow-up
• Display calendar events and workspace records you authorize us to process
• Send you operational updates, alerts, and service notifications
• Respond to your support requests and inquiries
• Improve and develop our services

4. How We Share Your Information

We do not sell your personal information. We share information only in the following circumstances:

Service providers: The current service uses Supabase for authentication and database storage, Railway for hosting, Resend for email, Stripe for subscriptions, and Nango for the Google Calendar connection. When AI features are used, relevant messages, selected native workspace records, business information, lead notes and submitted questions or instructions are sent to Anthropic to generate responses or personalized follow-up content. Synchronized Google Calendar event records are excluded from the chat assistant’s automatically assembled context. However, Google information you paste, forward or otherwise include in these inputs can be processed by Anthropic to provide the requested or configured feature.

Google data: We use Google Calendar data to display connected calendar information in Backbone. We do not sell it, use it for advertising or use it to train general-purpose AI models. Our use and transfer of information received from Google APIs is subject to the Google API Services User Data Policy, including its Limited Use requirements.

Legal requirements: We may disclose information if required by law or to protect the rights, property, or safety of Backbone, our clients, or others.

5. Data Retention

We retain account and workspace information while providing the service. Canceling a subscription does not automatically delete workspace data. Contact shaun@backbonefortrades.com to request an export or deletion. After verifying your request, we review the records and explain the scope and timing of removal, including information that must be retained for payment records, security, legal obligations or resolving disputes. Backup copies are removed through the applicable backup retention cycle.

6. Your Rights

You have the right to access, correct, or delete your personal information. You may also request that we stop processing your data or restrict how we use it. To exercise these rights, contact us at shaun@backbonefortrades.com.

7. Security

We implement industry-standard security measures to protect your information, including encryption in transit and at rest, access controls, and regular security reviews. No system is completely secure, and we cannot guarantee absolute security.

8. Third-Party Links

Our platform may contain links to third-party websites or services. We are not responsible for the privacy practices of those third parties and encourage you to review their privacy policies.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by email or through the platform. Continued use of Backbone after changes constitutes acceptance of the updated policy.
