Leads & customer context

Keep the inquiry with the work.

Save the customer's details, find the original request and carry contact context into an appointment. Backbone keeps leads, appointments and jobs linked as you record the next step.

01 / Start with the customer

Know who asked, and what they need.

Add a lead with a name, an email or phone number, and notes about the request. Search your leads by name, contact details, notes or source when you need the context again.

Give each inquiry a clear status

Record progress as New, Contacted, Qualified, Converted or Lost. The status describes your record; it does not send a message or book a visit.

  • New
  • Contacted
  • Qualified
  • Converted
  • Lost

When adding a lead manually, customer follow-ups have a separate opt-in control. Configured owner alerts are separate from customer messages.

02 / Bring your existing list

Preview your CSV before you import.

Use a spreadsheet you already have to create lead records. Review the file in the workspace, then import the contacts you are ready to keep there.

File checklist

A small, clear contact list

  • Up to 500 rows in a CSV file of 1 MB or less.
  • Supported columns: name, email, phone, notes and status.
  • Each row needs an email address or phone number.

An empty status becomes New. Use the workspace template to start with the supported column names.

Duplicate handling

Matching contacts stay unchanged

A matching email or phone is skipped, including repeated contacts within the same file. Import does not merge or overwrite existing records.

Email matching ignores letter case. Phone matching ignores spaces and punctuation but keeps country-code digits, so use a consistent country-code format.

03 / Record the next step

From an inquiry to a visit to a job.

Schedule from a saved lead to prefill the customer's name, email and phone. Create a job from the appointment to carry over the customer name, service and address, with links back to the original records.

What carries over between these records?

Lead contact details prefill the appointment. Lead notes remain on the lead, so add any appointment-specific instructions yourself. Creating a job from an appointment prefills the customer name, service and address.

These are linked records, not a merged customer timeline. Recording a job value or marking a job invoiced does not create an invoice or collect payment.

The example above is a walkthrough, not a booking tool. In your workspace, review the details before saving each record.
